SECT
The dates on SECT are the dates that the refund formula uses. Full term classes must have term dates in SECT and the meeting dates are recorded in SOFF.
SECB
Full Term Classes have a refund formula that is built as the amount of days into the term which is how the College refund policy is written for full term courses. This refund formula is built into the billing tables for that term. Given the formula calculates by days in, and not percentages, is why for FULL TERM you do not have to make changes if it is an online class.
One week (7 days) 100% less fees
Two weeks (14 days) 50% less fees
Three weeks (21 days) 25% less fees
SRGD
Full Term Classes use the system defaults, there is no need to make changes.

Courses that are IRREGULAR with meeting times

Irregular classes must have the actual start and end date of the course in both SECT and SOFF. The dates must match.
SECB
Irregular classes with meeting times follow the College’s Irregular refund policy which is based on the percentage of instruction. As previously noted the default refund formula is for full term classes so it is necessary to change the drop/withdraw refund policy to IRREG. This refund formula counts meeting times and will calculate based on the percentages in the formula.
SRGD
Dates in SRGD must be adjusted for Irregular classes, see grid provided. This date controls when students are able to drop versus withdraw. If this date is not changed, students will be restricted by the full term default dates which will not allow proper transactions to occur for the course.

Courses that are IRREGULAR with WITHOUT meeting times (includes ONLINE and HYBRID)

Irregular classes must have the actual start and end date of the course in both SECT and SOFF. The dates must match.
SECB
Irregular classes without meeting times follow the College’s Irregular refund policy which is based on the percentage of instruction. Given there are no meeting times, the system cannot count or calculate so unique online formulas were created. Courses without meeting times should use the ONL refund formula for the amount of weeks the course runs. Example 10-wk course would use ONL10 in the drop/withdraw refund policy.

Dates in SRGD must be adjusted for Irregular classes. This date controls when students are able to drop versus withdraw. If this date is not changed, students will be restricted by the full term default dates which will not allow proper transactions to occur for the course.

Refunds for courses without meeting times:
Student wants to drop a 7 week class and is inquiring about the amounts they would get back. |

10% of instruction is 4.9 days, round to 5, and our policy reads 100% less fees to the day prior to 10% of instruction; 50% tuition less fees to the day prior to 20% of instruction; no refund after this period. |
So on 10/5/12, students may get 100% tuition less fees (10/1/12 + 4 days (10%-1day) |
Between 10/6 on 10/10/12, students may get 50% tuition less fees (10/1/12 + 9 days (20%-1day) |
On 10/11/12 the student would have to Withdraw and no refund is due. |
Irregular classes that have to have the SRGD — Drop Grades Required Field Changed
Start date of class + the noted amount of dates based on how long the class runs.
