Other Tools - Accessibility Checkers

Office 2016 and Office 365 have recently added an Accessibility Checker tool. The Accessibility Checker allows you to scan your Word document or PowerPoint presentation for anything that may not be considered accessible. 

It is important to use the Accessibility Checker as a tool. It is by no means a solution for fixing everything that is deemed not accessible.

It is important that you spend time reviewing the following knowledge base articles on how you can make your Word documents, PowerPoint presentations, and PDF files more accessible:

Below are directions on how to use the Accessibility Checker tool in Office 2016 programs and Office 365 programs to check that your files are deemed accessible.

 

 

Office 2016

  • Click File tab in the Word or PowerPoint file. 
    • File link

 

  • Click Info.
    • A list of options is visible in a Word document. The Info link is highlighted with a red box located to the left.

 

  • Click Check for Issues. Click Check Accessibility
    • The Check for Issues icon is highlighted with a red box in the middle of the screen. In a pop-up window underneath the Accessibility Checker is highlighted with a red box.

 

  • The Accessibility Checker will appear in a pop-up window to the right of your file. The Accessibility Checker will show you what needs to be fixed or changed to meet the accessibility requirements. Remember, this is not a definitive solution to making your file accessible.

Office 365

  • Click the Review tab in the Word or PowerPoint file. Under Accessibility, click the Accessibility Checker icon.
    • The Review tab is highlighted with a red box. Underneath the Review tab, the Check Accessibility icon is highlighted with a red box.

 

  • The Accessibility Checker will appear in a pop-up window to the right of your file. The Accessibility Checker will show you what needs to be fixed or changed to meet the accessibility requirements. Remember, this is not a definitive solution to making your file accessible. 
    • Accessibility Checker pop-up window appears to the right of the screen showing an issues with the document that may need to be fixed.
