Emergency Closing/Class Cancellations
Policy and Procedure

  

POLICY

It shall be the policy of the College to ensure, to the extent possible, normal College operations during periods when classes must be canceled because of inclement weather or other emergency situations. Therefore, College offices will normally be open for its usual business hours during such periods.

In the event instructional time is lost because of class cancellations, the faculty member will be responsible to adjust his/her method of instruction to accommodate the canceled instructional time and complete the course objectives without penalizing the student.

If a significant amount of instructional time is lost as a result of cancellations, additional instructional time will be scheduled. The Spring Break will not be used for this purpose unless absolutely necessary.

 

PROCEDURE

Class Cancellation/Delayed Opening

The President, or his designee, determines when classes must be canceled due to inclement weather, and shall notify appropriate radio stations by 6:00 a.m. that the day classes have been canceled and by 2:00 p.m. if the evening classes have been canceled. The announcement will be carried by the following stations.

THE BROADCAST NOTICE OF CLASS CANCELLATION OR DELAYED START ONLY APPLIES TO TEACHING FACULTY. ADMINISTRATIVE, SUPPORT STAFF, AND SERVICE FACULTY (COUNSELORS AND LIBRARIANS) ARE EXPECTED TO REPORT FOR WORK UNLESS THEY ARE INSTRUCTED OTHERWISE VIA THE "TELEPHONE CALL TREE."

Day Classes are those classes that start before 3:30 p.m.

 

When an announcement is made that the College will be "opening one hour late," the day will begin with the second class meeting . For example:

In the event of a cancellation on Monday, Wednesday, or Friday, classes that normally meet from 8:00 a.m. to 8:55 a.m. will be canceled and the day will begin with the 9:05 a.m. to 10:00 a.m. sections.

Classes that meet on Tuesday and Thursday from 8:00 a.m. until 9:25 a.m. will be canceled, and the day will begin with the 9:35 a.m. sections.

The exception to this "first class canceled rule" will be daytime classes that meet for three hours. In this case, only the first hour will be canceled. If a lab setup is required but not prepared, faculty should be prepared to provide alternate instruction.

 

Evening Classes

Evening classes are those classes that begin at or after 3:30 p.m.

Every attempt will be made to announce the cancellation of evening classes before 2:00 p.m.

When inclement weather results in the closing of school after 3:30 p.m., the Evening School Administrator will be responsible for notifying each instructor.

 

 

Off-Campus Classes

In the event of inclement weather, off-campus classes are subject to the guidelines governing the class cancellation on the main campus and the class cancellation of the particular off-campus sites.

If classes on the main campus are canceled, all off-campus courses are canceled.

If the off-campus site is closed, but the main campus is open and classes are running, only the courses offered at that particular off-campus site are canceled.

 

 

Delayed Opening/College Offices

The President, or his designee, also determines if the weather is of such severity as to necessitate a delay in the opening of the College offices. In the event such a determination is made, the "telephone call tree" procedure will be initiated to inform all administrative, supportive staff, and Service Faculty of this decision .

 

In the event there is a one hour delay in the college's opening—all employees, except Public Safety Officers and Facilities Management employees are expected to report to work at 9:00 a.m.

In the event there is a two-hour delay in opening, the same employees will be expected to report to work at 10:00 a.m.

Example: If an employee's normal starting time is 7:30 a.m. and there is a one-hour delay in opening, he/she should report at 9:00 a.m. If the normal starting time is 8:30 a.m., he/she should still report at 9:00 a.m.

 

 

Early Closing/College Offices

In the event of an early closing, the President or his designee notifies all offices of the decision and the time of the early closing. Employees scheduled to work after the time of the early closing will be notified by their immediate supervisor of the early closing.

 

Example: If the College is closing at 3:00 p.m., all employees (other than Public Safety Officers and Facilities Management employees) whose normal workday ends at 5:00 p.m. will leave at 3:00 p.m. If the normal workday ends at 4:00 p.m., he/she still would leave at 3:00 p.m.

In the event all classes are canceled and the College is closed, only Public Safety Officers and Facilities Management employees, with specific snow removal responsibilities, are expected to report for work. These employees will be given special compensation time off at a later date.

 

 

Application to College Employees

In the event the College is open and an employee is absent because of the inclement weather, the absence will be charged as follows.

- Administrative staff absent because of the inclement weather will have the absence charged to vacation time.

- Support staff absent because of the inclement weather will have the absence charged as a personal emergency day or as vacation time.

- Facilities Management staff and Public Safety Officers with specific snow removal responsibilities absent because of inclement weather will have the absence charged as vacation time.

- Service faculty (Librarians/Counselors) absent because of inclement weather will have the absence charged to vacation time.

 

In the event the College is open and classes are being held , Teaching faculty absent because of inclement weather will have the absence charged as leave without pay.

 

 

Make-Up Instructional Time

Normally, if instructional time is lost because of class cancellations, it will be the faculty member's responsibility to adjust his/her method of instruction to accommodate the canceled instructional time and complete the course objectives without penalizing the student.

If a significant amount of instructional time is lost as a result of cancellations, additional instructional time will be scheduled. The Spring Break will not be used for this purpose unless absolutely necessary.

Faculty are responsible for making their students aware of this procedure and to be prepared to adjust their instruction to ensure course objectives are completed.
